Usage-Based Pricing: Why It's the Only Fair Model for Document AI

By documeteor Team

Most SaaS is priced per seat because most SaaS is used by people sitting at a desk clicking around. Document intelligence doesn't work that way — a startup company might have three people who ever open the dashboard, and ten thousand documents a month flowing through the pipeline without a human touching any of them. Pricing that per seat charges for the wrong thing.

We see this most clearly with high-volume, low-headcount teams: a two-person ops team processing thousands of invoices a month looks tiny on a seat-based plan and enormous on the workload it actually represents. Usage-based pricing fixes the mismatch by billing for what's processed, not who's logged in — a quiet month costs little, a high-volume month costs proportionally more, funded by the volume itself.

The objection we hear most is predictability — founders worry a busy month will produce a surprise invoice. That's a fair concern, and the fix is the same one that works for any usage-based system: hard volume caps and real-time spend alerts, not reverting to a seat model that just hides the real driver of cost instead of controlling it.

For a startup company evaluating document AI pricing, the right question isn't "how many people need a login" — it's "how many documents actually move through this system in a normal month, and does the price track that number honestly."
